TMIC Athletics Organization · TMIC Hoops
Privacy Policy
The short version. We ask for the information we need to contact you about the club and nothing more. We do not sell it, we do not share it with advertisers, and you can ask us to correct or delete it at any time by emailing [email protected].
1. Who we are
TMIC Hoops is a youth basketball program operated by TMIC Athletics Organization, a California nonprofit public benefit corporation (entity number B20260474065). In this policy, "we," "us," and "the club" mean TMIC Athletics Organization. Our contact address for privacy matters is [email protected].
2. What we collect
We only collect what you type into the interest form or send us by email:
- Contact details — your name, email address, and phone number.
- Player details — the player's first and last name, current grade, city, and parent or guardian name, when you are writing about a player.
- Business details — business name, contact name, and website, when you are writing as a sponsor.
- Organization details — organization name and a short description of how you would like to partner.
- Optional notes — anything you choose to tell us in a free-text field.
- Technical details — the time you submitted the form, your IP address, and a bot-check token. Your IP address is seen by Cloudflare (Turnstile) and by Google Fonts when your browser loads the typefaces. We use it to filter spam and serve the page — not to track you or build a profile.
We do not ask for payment information on this site. Fees are handled separately once a player is offered a spot.
3. Why we collect it
- To reply to you about tryouts, workouts, conditioning, and roster openings.
- To answer coaching, sponsoring, and partnering enquiries.
- To keep a list of families who want to be contacted when a new team forms.
- To keep spam and automated submissions out of the inbox.
We do not use your information for advertising, and we do not build profiles or run behavioral tracking on this site.
| What we hold | Where it comes from | Why | Who sees it |
|---|---|---|---|
| Contact details (name, email, phone) | You, in the form | Reply about tryouts, workouts, roster openings | Club volunteers; our host and email provider |
| Player details (name, grade, city) | You, in the form | Place the player in the right age group | Club volunteers |
| Business or organization details | You, in the form | Sponsor and partner follow-up | Club volunteers |
| Submission time, IP address, bot-check token | Your browser | Keep spam out of the inbox | Our host; Cloudflare |
4. Children's information
Most of the people we serve are minors, so we collect as little about them as possible. The form asks for a player's name, grade, and city — not a birth date, address, or school ID. The contact details we hold belong to the parent or guardian.
We do not collect information directly from a child under 13. The parent or guardian submits the form, and we treat that submission as permission to contact them about the player. When a player is offered a spot, we also collect signed registration, consent, and medical forms from the parent or guardian, completed electronically through DocuSeal. Those signed forms are our verifiable consent step under COPPA (16 CFR § 312.5), rather than the checkbox on this page. A parent or guardian can ask us to delete a player's information at any time.
5. Photographs
We publish photographs of players on this site and on social media only where we have permission from a parent or guardian. If you would rather your player's face were not published, tell us and we will use a team photo, a wide shot, or no image at all. Photo consent can be withdrawn at any time.
6. Who we share it with
We do not sell your information, and we do not share it with advertisers. We use a small number of service providers to run the site and the inbox:
- Our web host — stores the site files and processes form submissions.
- Cloudflare — provides the bot check (Turnstile) and, where enabled, DNS and email routing.
- Our email provider — receives mail sent to [email protected].
- Google Fonts — serves the typefaces used on this page. Google receives the IP address of the browser requesting the font files.
- DocuSeal — collects electronic signatures on registration, consent, medical, and waiver forms. It holds the signer's name, email address, signature, and the time and IP address of signing, and keeps an audit trail of each completed document.
Each provider processes the data on our instructions and for its own operational purposes only. DocuSeal holds signed forms so that a parent, a coach, or an insurer can confirm a signature later. Google Fonts is a service provider that delivers font files for this page; it is not given your details for advertising. We may also disclose information where the law requires it, or to protect a player's safety.
Cloudflare, Google Fonts, and our host operate servers outside California and may process data in other states or countries. Where that happens, the provider's own safeguards apply, and we choose providers that publish them.
7. Cookies and tracking
This site does not set advertising or analytics cookies. The bot check may set a short-lived token in your browser to confirm you are a person. Font files are requested from Google Fonts, which sees your IP address as part of that request.
This site does not respond to browser "Do Not Track" (DNT) signals, because there is nothing to switch off: we do not run analytics or advertising trackers. If we add analytics later, we will name the tool, respect DNT where the tool allows it, and update this policy first.
8. How long we keep it
"Active" means the player is on a roster, or has asked to be contacted when a team forms, for the current or upcoming season. Interest-form submissions are kept while a family is active and for one season after that, so we can reach you when a new team forms. If we have not heard from you for two seasons, we delete the submission unless you ask to stay on the list.
Spam-check technical data is discarded shortly after the submission is processed. Ask us to delete your information and we will do so within 30 days, except where we must keep a record — for example a signed consent form held in DocuSeal, a registration record, or an insurance claim.
9. Your choices and rights
- Ask what we hold about you, and get a copy.
- Correct anything that is wrong.
- Ask us to delete your information.
- Ask us to stop contacting you.
- Withdraw photo consent.
Email [email protected] with "privacy" in the subject line. We acknowledge privacy requests within 10 business days and answer within 30 days.
On the CCPA/CPRA: those laws apply to for-profit "businesses," and TMIC Athletics Organization is a California nonprofit public benefit corporation, so we are not covered by them. We honor the same rights anyway — to know, to correct, to delete, to stop being contacted, and not to be treated differently for asking. We do not sell personal information and we do not share it for cross-context behavioral advertising.
10. How we protect it
Form submissions travel over HTTPS. Access is limited to the volunteers and board members who need it to run the club, and the shared mailbox is protected with two-factor authentication. No system is perfect. If a breach affects your information, we will notify you in the most expedient time possible and without unreasonable delay, as California Civil Code § 1798.82 requires, and we aim to send that notice within 72 hours of discovering it.
11. Links to other sites
This site links to Instagram and Facebook. Those platforms have their own privacy policies, and what they collect is governed by them, not by this page.
12. Changes to this policy
If we change how we handle information, we will update this page and change the version and effective date at the top. Material changes will be noted on the site.
13. Contact
Questions, requests, or complaints: [email protected] — put "privacy" in the subject line and it reaches whoever is handling privacy that season. TMIC Athletics Organization, Torrance, California.
